Hannah & David’s wedding at Butler Lane in Melbourne was in 2022… and we were lucky enough to be a part of the celebrations. They are such a dedicated and sweet couple, marrying each other in front of their closest family and friends with their local Parish. It was a fun day to document, my team and I did the Photography & Videography, and we had a ball.

Here is my advice on how to plan the perfect Wedding Runsheet for your day, with Photography & Videography at the forefront…
Step 1: Start with the Big Picture
Begin by listing the major events of the day, such as:
- Bridal party preparations
- First Look (if doing one!)
- Guest arrivals
- Ceremony start time
- Cocktail Hour & Congratulations
- Portraits with Bridal Party
- Reception start time
- Speeches and Formalities
- First dance or Cake Cut (if it’s something you want to do!)
- Dance-floor Opens!
Step 2: Allocate Time for each key moment in the day
- Hair and makeup: Aim to be finished 45 minutes before Photography & Videography is scheduled to arrive. We ask our couples to ensure this is the case so that there are no delays.
- Ceremony: Set aside the time for the Ceremony, but also any traffic or travel time to get there. It’s always up to the couple if you would like to do a First Look, this is something we can organise for you when we meet to plan your runsheet.
- From here, the rest of the runsheet is generally at the same location, unless you need to go offsite for photography or videography! We usually require 30-40 minutes for couple portraits and 15 minutes for family portraits.
Step 3: Consult Your Vendors
Coordinate with your vendors—or engage an all-in-one service like us: Ever After Effect. You can read more about what we offer here.
Step 4: Build in Buffer Time
Weddings rarely go 100% according to schedule, so include buffer time between key moments to avoid any stress. A 10-15 minute buffer is what we suggest to keep in mind, potentially more for key videography moments such as your Ceremony and Speeches, we need 30 minutes to set up audio.
Step 6: Stay Flexible & Enjoy the Day
While a well-planned runsheet will help things flow smoothly, it’s important to stay flexible. Unexpected delays or surprises may happen, but the goal is to enjoy your special day and celebrate with loved ones. We are there to capture the fun, candid, in the moment instances unfold!
